Give a Volunteer or Committee Member Workday Access:
Before beginning: Confirm person is an active Volunteer or Committee Member in YL Connect Volunteers. The volunteer or committee member should be added appropriately to YL Connect Volunteers in the correct area. They should complete all necessary steps to be fully activated as a volunteer in YL Connect (in the United States, this implies screenings are complete). They will receive the Registration Email and the Screenings Email with further instructions. See full handbook here.
Complete the Workday User Request Form. This needs to take place at 4-6 weeks prior to the planned start date.
Hiring Process Checklist:
IDENTIFY A NEED:
- Identify job role needed using the Job Title Information. Address qualities, skills and gifts and immediate area needs. This discussion should include the local committee and area supervisor.
- Create a budget to project cost of new position using the Field Scenario Tool.
- Determine fundraising goals for the area and the candidate.
RECRUITING:
- REQUIRED PRIOR TO ANY JOB POSTING: Complete the Workday User Request Form. This needs to take place at 4-6 weeks prior to the planned start date.
- The Region will create a job posting
- Prior to posting the job, we will review the information with the supervising staff
- The job will be posted on outside hiring websites and the area hiring manager reviews applications as they come in.
- Candidates apply online to the job requisition.
- Postings can be found on jobs.younglife.org
INTERVIEW AND SELECTION:
Process: Interview thru Hiring
- Official Regional Screenings/Interview (for details, see below)
- Decide on a final candidate and if appropriate bring them before the committee for an interview.
- Create an IRD (alongside RA/ARD/RD) to determine this candidate’s specific salary.
- Determine a potential start date and begin preparing a job offer.
- Complete the Workday User Request Form to communicate to the Region start date and salary. This needs to take place 2 weeks prior to start date.
- An official offer letter will be generated through Workday.
- All New Hire Paperwork will be sent to candidate through Workday. It is their responsibility to complete paperwork (the PAR Partner will check their status).
An official regional interview must take place for any persons seeking to join Young Life staff in a direct ministry role (This does not include Admins or Student Staff- interviews for these job titles happen at a local level. Please use the same resources as needed.). If you are interested in hiring a field staff person, communicate with your supervisor. The local Hiring Manager completes a screening and sets up a balanced interview team that includes at least 2 RLT members for a Regional Interview.

If a candidate is already on Young Life staff (OZB or another region) they will complete the following:
- Young Life Staff Application will be received from online application
- Candidate Preliminary Questions
- No video testimony or Confidential Character References are needed. The supervising staff will contact the references listed on the candidate’s application.
The local Hiring Manager gathers documents and sends everything to the candidate, set up the official regional interview and share with the members of the interview team as well as the regional office. We suggest setting up a google drive with all their forms.
SCREENING AND ON-BOARDING:
- If candidate is not a volunteer leader and they move past the interview stage, Workday will initiate screening.
- If the background check comes back with something on it, Human Resources will contact you.
- Register with PDD (either Tier 1 or 2)
- Human Resources sends a welcome email to the staff person and Region with a link to New Employee Orientation.
- Benefits will send new hire enrollment information.
- Request P Card for employee if needed, and provide financial training
Termination
When terminating staff, please request staff termination by email two weeks before the effective date of termination by completing the Workday User Request Form. This allows time for the service center to deactivate access to staff resources and P Cards closer to the actual termination date. If there is less than a two week window, still fill the form out, but confirm with the Regional Office to ensure the timing of the termination for Payroll purposes.
